Setting Your Prices

Prices are used by Online Registration to set fees during the registration process. Prices can vary based on location, class type and first registrant, second registrant, etc. You can define as many different prices as you like, or just use one or two prices. You can also define coupons for your customers to use for discounts.

Prices are set from the Online Registration page.

When you first load the Online Registration page you'll see a list of your current prices. This example shows that a few prices have been defined (including a coupon).

To add a price, just click on the "Add New Price" link in the pricing grid.

The table will expand like the picture below:

Each of the entries here will determine where this price is applied. If the price you're entering is valid for all locations (or if you have only one location), you can leave Location at <Any>. Otherwise select the Location where this price applies. (NOTE: If you use location-specific pricing, you'll have to enter the prices for all of your locations separately.) If the price applies to a specific Class Type (if you have a different price for Babies class, for example), you can select the Class Type where the price will apply.

Next you can enter a description of the price. We might put "First Class" or "First Registration" here, for example.

The Item Type is a way to control what shows up for parents while registering, to make sure that their prices come out correctly. The Item Type has these settings:

• Any Registrant: This price will apply for any registrant.
• First Registrant: This price will only be available for the first child (or adult registrant) included in the registration.
• Second Registrant: This price will be available only for the second child (or adult registrant) included in the registration.
• Third Registrant: This price will be available only for the third child (or adult registrant) included in the registration.
• Auto-Apply: This item will automatically be added to every registration total. This item can also be used for fees and discounts that need to be applied to every registration.
• Coupon: This item will be a coupon for discounts.

If the price will apply to any registrant, you can leave it at "Any Registrant". Continuing with our "First Child" example, we would want to change this to "First Registrant", because we want the "First Child" price only to apply to the first child registered. Later on, when we add a "Sibling" price, we can set that as "Second Registrant", to make sure that "Sibling" pricing is only available for the second child registered.

The Coupon Code and Coupon Effective Dates are just for coupons, so they can be left blank unless you're creating a coupon.

Validating Prices:

Since you can have pricing schemes that are complex, the system automatically validates prices. As you're putting prices in, you may get a message at the top of your screen stating that "One or more classes have missing or invalid pricing information. Please review and fix your prices." If this message is still visible when you're done with your pricing, you need to use the "Validate Prices" button, below the pricing table, to see what's missing.

After clicking on "Validate Prices", you'll see a list of prices that are missing or invalid.

How can prices be missing or invalid? Well, one example would be where you entered location-specific prices, but forgot to add prices for every location. Or maybe you've specified prices for all First and Second Registrants, but you don't have any Third Registrant prices (this would create a situation where a customer trying to register a third child wouldn't see any price). (Please note that not all site types support registration for multiple registrants.)

Your new prices will not be used until they are completely valid. Until that time, your previous prices will be used. If you have no previous prices, only "Pay Later" requests will be accepted until valid prices are available.

Pricing Examples:

Example 1:

First Registrant: $150
Siblings: $120
Babies: $0
Mandatory Registration Fee: $10

Notice that we added the Sibling and Babies prices so that they could be selected either as the second or third registrant. Also notice that we used the "Auto-Apply" setting for the Registration Fee, since we want it to be automatically applied to every registration. Notice that by setting up the first price with a "First Registrant" item type, we make sure that only the first child will get this price. After that, as Second and Third Registrants, the Sibling and Babies prices become available.
